What this notice covers

This notice covers this P1 website, initial business enquiries, job and freelancer applications, initial contributor enquiries and related business correspondence. Production footage, interviews and other project material require project-specific information and agreed handling arrangements. Please contact us before providing that material.

Information we receive

When you contact us, we receive the details you choose to send, such as your name, work email, organisation, enquiry and correspondence. Applications may include CVs, work links, experience and availability. Business contacts may also come from professional introductions or publicly available business sources.

Please do not include identity documents, medical information, criminal-record information, information about children or confidential client material in an initial enquiry. We will discuss any necessary further information separately.

Website visits and enquiry tools

Our contact and partner forms prepare an email draft in your browser. Completing a form does not itself send the enquiry to P1. You review and send it using your email service. Your entries are held in the current page, rather than saved by the form to a P1 database.

The hosting and delivery services process connection information, such as IP addresses, browser information and requested pages, to serve and protect the website. P1 has not added advertising trackers or visitor analytics. See our Cookies notice for the scope of this statement.

Language and country detection

We use your selected language, or an automatic country-based suggestion, to display the website in a suitable language. When no language is selected, your browser may contact GeoJS, which receives your IP address and normal connection information to return a country code. We do not request precise location, and P1 does not save the returned IP address or country. If this service is unavailable, we use your browser language or English. A choice made in the globe menu takes priority.

Language preferences are stored on your device as described in our Cookies notice. The country lookup is provided by GeoJS, whose privacy policy explains its processing. You can avoid automatic country lookup by opening a language-specific page or choosing a language.

Purposes and lawful bases

• Business enquiries and relationships: responding, arranging meetings, discussing scope and managing relationships, on the basis of our legitimate interests in operating P1 and providing relevant business services.
• Applications: considering suitability and communicating about work, on the basis of our legitimate interests in recruitment. Necessary steps towards a contract with the applicant may also apply.
• Legal and administrative records: meeting applicable legal obligations and keeping necessary business records. Establishing or defending legal claims may rely on legitimate interests.
• Optional future opportunities: we ask before keeping an unsuccessful application in a longer-term talent pool. You may ask to leave that pool.

We consider the necessity of our use and its impact on individuals. Where we rely on consent, it may be withdrawn at any time without affecting earlier lawful use. Additional conditions are needed before we process specially protected information; please do not send it unless arrangements have been agreed.

Who may receive information

Access is limited to people who need the information for the relevant work, our professional advisers, appropriate service providers and authorities where disclosure is required. Our business services include Google Workspace/Gmail for email and collaboration, and monday.com for contact and project management. This website is delivered through ChatGPT Sites and its hosting infrastructure.

OpenAI and Anthropic services are also used for relevant AI-assisted business and production work. The information involved depends on the task and agreed project arrangements; this does not mean every enquiry or application is automatically sent to an AI service. Ask us about a particular use before sharing sensitive or confidential material.

Processing outside the UK

Our international technology suppliers may process information outside the UK. The arrangements depend on the particular service and account. Contact us for information about the destinations and safeguards relevant to your information, including how to obtain a copy where available. UK data-protection law requires an applicable transfer mechanism for restricted transfers, such as adequacy regulations, approved contractual safeguards or a permitted exception.

Marketing and future features

An enquiry does not subscribe you to a newsletter. No newsletter signup, public community, chatbot or client account service is active on this website. We will provide the relevant information and choices before introducing those features.

If P1 or an agency acting for us contacts you for business marketing, you may object using the reply or unsubscribe route in the message, or email us directly. We retain the minimum suppression information needed to respect objections. Campaign-specific information about contact sources, providers and any email tracking must accompany the relevant campaign; this website notice is not permission for an agency to use unassessed lists or tracking.

How long we keep information

• Enquiries that do not become work: normally 12 months after the last meaningful contact.
• Unsuccessful applications: normally 6 months after the recruitment process ends.
• An optional talent pool: 12 months before we ask whether to retain the details.
• Unrequested pitches: normally deleted within 30 days, apart from a minimal record where justified to handle a dispute.
• Client contracts and key commercial correspondence: normally 6 years after completion, subject to the contract and relevant legal requirements.
• Production material and contributor records: according to project-specific arrangements, rather than an automatic end-of-project deletion promise.

We may retain relevant information longer where required by law, a contract, an investigation or legal proceedings. Deletion from backup copies follows the relevant backup cycle. You may ask about the period applicable to a particular record.

Your rights

Depending on the circumstances, you may request access, correction, deletion, restriction or portability, or object to processing. You have the right to object to direct marketing at any time. Some rights have exceptions. Providing initial enquiry information is voluntary, although without relevant contact details we may be unable to respond.

Contact bristol@p1entertainment.com with the subject “Privacy”. We may ask for proportionate information to verify the request. We handle rights requests within the applicable statutory period, normally one month, with permitted extensions where necessary.

Complaints

Our complaints route explains how to raise a concern and contact an alternative handler. You may also complain to the Information Commissioner’s Office. You do not have to use our internal route before contacting the ICO.
